Job Description

The Secretary and Association Executive shall be responsible for the secretarial, clerical, and administrative affairs of the Association.

A) Scope of work includes the following;

  • Responsible for the overall functions of the Association’s daily operations
  • Provide Association secretarial services for full and timely compliance with all statutory requirements
  • Organize and attend meetings, webinars, seminars, conferences, workshops and other events related to the functions of the Association
  • Prepare reports, minutes or notes of meetings or seminars attended/organized
  • Prepare memos, letters, speeches, position papers, reports for the Board of Committee, President and Organising Committee
  • Prepare and submit statutory submission in eRoses System
  • Maintain and update Associate Membership System;
  • Entertain any enquiries on the Membership matters via email, phone and etc,
  • Maintain Cashbook and proper bookkeeping
  • Liaise with Treasurer on payments matter
  • Manage, create content and publish the content on social media platforms, including Instagram, Facebook, Youtube etc
  • Carry out any day to day operation and assignments that may be given from time to time by the Secretary-General and President
  • able to work and attend meeting on weekdays night and weekend when required.

B) You should possess the following qualities;

  • Minimum Diploma & above from a recognized educational institution
  • Can speak & write competently in English
  • Preferably with secretarial experience
  • Reasonably good IT literacy
  • Independent & result oriented
  • Organized and detailed
